Before you book
- Your deposit is part of your agreed course price.
- Cancellation within 48 hours, non-attendance, lateness or missing requirements can lead to loss of some or all of your deposit, subject to the rules below.
- Deductions must reflect lawful charges or net losses. Statutory cancellation rights take priority.
1. About ASA and these terms
A Security Academy Ltd (“ASA”, “we”, “us”) provides training, E-learning and assessments. Company number: 16889426. Contact address: Yeading Community Centre, 2 Ditchfield Road, Hayes, London UB4 9BH. Email: info@asecurityacademy.com. Telephone/WhatsApp: +44 7541 999 007.
These terms govern learner bookings and use of our website. Read them with your agreed course description, entry requirements, written quotation, booking confirmation and any expressly included exam warranty. Information about our services that you rely on when booking forms part of the agreement where the law provides. Nothing here removes your statutory rights.
These terms apply to new bookings accepted under this version. They do not retrospectively replace terms agreed for an existing booking. An employer or another payer must ensure each learner receives the course requirements; they cannot give a learner’s personal acknowledgements without authority.
2. Booking, acceptance and course information
Contact ASA before paying so we can confirm availability, eligibility, the course, dates and total price. Provide accurate learner names and contact details. A payment receipt or automated acknowledgement alone is not acceptance. We confirm acceptance and the place in writing after the required payment is verified. If we cannot accept a booking, we refund the payment.
Your confirmation sets out the course, venue, start times, included learning and assessments, total price, deposit, remaining balance and payment deadline. Tell us promptly about errors. We cannot guarantee a qualification, examination pass, SIA licence or employment; we remain responsible for delivering the services we promise with reasonable care and skill.
If you book close to the start date, all entry checks, registration and pre-course learning must still be completed on time. Paying does not override these requirements.
3. Prices, deposits and payment
Prices are in pounds sterling and include any applicable taxes. We disclose the total agreed price and any optional extras before you commit. Bank transfer is our preferred payment method; card payment is also available. Use the requested payment reference. A screenshot is not proof that cleared funds have arrived.
“Deposit” and “booking fee” mean the advance payment credited towards your course price. It contributes towards reserving your place, learner registration, E-learning setup and administration. It is not an extra fee. The full course price is not automatically treated as a non-refundable booking fee.
Pay the remaining balance by the deadline in your confirmation. Where payment is due on Day 1, bring the remaining payment using an agreed method. If payment is overdue, we will contact you and give a reasonable opportunity to resolve it where practicable before suspending or cancelling the booking. Any amount retained is assessed under these terms, not automatically forfeited.
Your deposit secures a place on a specific course and is not freely refundable or transferable if you change your plans. Subject to your statutory rights, ASA will apply it against the recoverable charges and losses described below and retain the full deposit where those amounts equal or exceed it. Where they are lower, we refund the difference. No additional goodwill refund or free transfer is guaranteed.
4. Your statutory cancellation rights
For a consumer contract made online, by telephone, email or WhatsApp, you normally have the right to cancel without giving a reason until the end of 14 days after the day the contract is formed. You may also withdraw your offer before we accept it. Any longer period required by law applies if required cancellation information has not been given.
A course date falling within those 14 days does not by itself remove that right. Our 48-hour policy, registration cutoff and attendance rules do not override it. If you exercise a valid statutory cancellation right, we apply this section and sections 5–6 rather than a late-cancellation penalty.
You can cancel by any clear statement, including email, WhatsApp, telephone or post using our contact details. A written message helps you keep evidence, but is not compulsory. For a statutory cancellation, it is sufficient to send your cancellation before the period expires; our approval is not required. You do not have to use a particular form to cancel.
We repay any refund due without undue delay and within 14 days of being informed of a statutory cancellation. We use the original payment method unless you expressly agree otherwise, with no refund fee. Bookings made wholly on our premises do not generally have the same automatic change-of-mind period; other statutory remedies still apply.
5. Starting services immediately
You may expressly request that we start administration, registration and preparation, and provide training on your agreed dates, during your cancellation period. This request must be actively made before we start; accepting general terms alone is not treated as an early-start request.
If you validly cancel during that period, we may charge a proportionate amount for services actually supplied at your request before cancellation, provided the legal information and consent requirements have been met. The calculation is based on the agreed total price, or market value if that price is excessive. Internal costs alone do not automatically establish the amount chargeable.
Your cancellation right for a service contract ends on full performance only if you expressly requested early performance and acknowledged that consequence beforehand. Reserving a place, doing administration or setting up E-learning does not fully perform your classroom training contract.
If you do not want an early start, contact us before paying to discuss a suitable later course or start arrangement. We will not begin early solely because you paid. Rights concerning faulty or misdescribed services remain unaffected.
6. E-learning registration and access
Where E-learning is included, your immediate-start request authorises ASA to register you and pay any applicable provider fees from your booking payment after acceptance and payment verification. These activities are included in the agreed course price, not charged again as an undisclosed extra. First Aid E-learning uses a paid learner token that we cannot recover once allocated; other E-learning setup involves administration time.
Before supplying digital content during the cancellation period, we obtain your express consent and acknowledgement that the cancellation right for that content will end when supply begins. We confirm that consent and acknowledgement, together with the contract information, by email or another durable form you can retain. We will not rely on loss of that right where the legal requirements have not been met.
Allocating a token internally is not, by itself, proof that digital content has been supplied or that cancellation rights have ended. E-learning supply does not automatically make the whole deposit non-refundable. No arbitrary fixed E-learning cancellation fee is imposed by these terms. Any charge must be supported by the agreed contract and applicable law, without double-counting. If an element is legally a service, the service rules apply.
We explain the required modules, access arrangements, relevant device/internet requirements and completion deadlines before booking. Use your own account and complete your own work. Tell us promptly if access fails; we will investigate and take reasonable steps to remedy it. We will not treat a failure caused by us as learner non-compliance. Statutory rights for faulty, misdescribed or undelivered content remain unaffected.
7. Cancellations within 48 hours and no-shows
This section applies to change-of-mind cancellations outside any applicable statutory cancellation right. The 48 hours are measured backwards from the confirmed first course start time, using UK local time, including weekends and bank holidays. For example, a Monday 07:00 start has a Saturday 07:00 cutoff. A cancellation at or after that cutoff is within the final 48 hours.
ASA’s registration arrangements require new learner registration to be completed at least 24 hours before the relevant course starts. Our 48-hour cancellation window allows time to contact a replacement learner, check eligibility and complete registration before that cutoff. Different or earlier course-specific requirements will be disclosed before booking. This is an operational booking rule, not a statement that every UK course has the same legal cutoff.
If you cancel within the final 48 hours or do not attend, ASA will retain your full deposit where our reasonable, evidenced net loss equals or exceeds that deposit. If our recoverable loss is lower, we retain only that lower amount and refund the balance. This rule is subject to sections 4–6 and does not impose a penalty or override a statutory cancellation right.
Recoverable losses may include non-recoverable registration or assessment charges, reasonable booking and preparation work wasted because of the cancellation, and lost net profit from a reserved place we cannot reasonably refill. We must be able to support the amounts claimed. We do not add overlapping administration, overhead or profit figures together, charge for costs we would have avoided, or treat the full course price as our loss without a calculation.
We take reasonable steps to reduce our loss, including trying to refill the place where practicable. We account for costs saved, replacement payments, supplier refunds or credits and any other recovery. We do not recover the same cost or loss twice. We explain the calculation and refund any excess payment. A place that is successfully refilled can reduce the deduction.
Cancelling earlier than 48 hours does not automatically mean a full refund, but gives us more opportunity to reduce any loss. The same fair net-loss assessment applies. A no-show is not itself a clear notice exercising a statutory cancellation right. Where such a right is validly exercised, section 4 takes priority.
8. Unprepared attendance and required documents
Complete the course-specific requirements communicated before booking by the stated deadlines. These may include valid photographic identification, required proofs of address, First Aid evidence, ACT certificates, course E-learning, workbooks and other necessary eligibility evidence. Bring the originals or permitted formats specified in your joining instructions. Tell us before paying if you cannot meet a requirement.
We may refuse entry or stop participation if missing learning, documents or eligibility checks mean that you cannot safely or validly complete the course or assessment. Where practicable, we will explain the issue and allow you to resolve it without breaching mandatory requirements. We will consider reasonable adjustments and any failure caused by ASA.
If you are refused participation because you have not met requirements clearly disclosed before booking, this does not count as ASA cancelling your course. ASA will apply your deposit towards recoverable charges and losses under sections 4–7, including retaining the full deposit where justified. Attending without the required documents or completed pre-course learning does not create an automatic right to a refund or free replacement course. Your statutory rights remain unaffected. A later course is subject to availability and agreement; we explain any justified additional charge before you accept.
9. Arrival, lateness and missed training
Arrive at least 15 minutes before the confirmed start time and be ready to begin on time each day. Contact us immediately if delayed. Arrival more than 10 minutes after the scheduled start may result in refusal of entry where missed mandatory learning, safety requirements or assessment rules prevent admission. The first 10 minutes are not a guaranteed grace period.
You must complete all required attendance, learning and assessment time. Leaving early, missing sessions or repeated lateness can prevent completion even if you have paid. Any catch-up or alternative date must be agreed and comply with applicable course requirements.
Where lateness, leaving early or absence attributable to you prevents participation or completion, there is no automatic right to a refund or free transfer. ASA will retain up to the full deposit against recoverable charges or losses under sections 4–7. We consider reasonable adjustments and the circumstances, and preserve your statutory rights.
10. Date changes, substitutions and exceptional circumstances
Contact us as early as possible if you need to move a booking. Transfers are subject to availability, eligibility, registration deadlines and written agreement; a deposit is not automatically transferable. We disclose any reasonable additional cost before you agree. We do not charge twice for a loss already recovered.
A replacement learner must be approved and complete the required checks and registration on time. Personal E-learning accounts or tokens may not be transferable. Do not send another person in your place without agreement.
Illness, emergencies or travel disruption should be reported promptly. We consider requests fairly, including reasonable adjustments and any evidence reasonably needed, but cannot promise a free transfer in every case. Statutory cancellation rights and remedies take priority.
11. Conduct, authenticity and safety
Treat learners, staff and venue users respectfully. Follow reasonable training, safety and examination instructions. We may refuse entry or remove someone for threatening or abusive behaviour, discrimination, serious disruption, unsafe conduct, intoxication or assessment dishonesty. Action will be proportionate to the circumstances; urgent removal may be necessary to protect others.
Use genuine documents and complete your own learning and assessments. We may check certificates, identity and submitted work. If evidence cannot be verified, we may pause participation while checking it. Suspected misconduct will be investigated fairly; a suspicion alone is not proof of fraud.
Where justified, we may report relevant information to the awarding organisation, regulator or authorities in accordance with law and our Privacy Policy. Any financial deduction following removal is assessed under the applicable cancellation and loss rules. You may challenge our decision through the complaints process.
12. Access, health and reasonable adjustments
Tell us as early as possible about any disability, access need, injury or other condition affecting participation so that we can discuss reasonable adjustments privately. We do not require unnecessary medical detail. We meet our legal duties to make reasonable adjustments and do not charge for adjustments the law requires us to provide.
Some courses have essential safety, competence and assessment requirements that cannot be waived. We will discuss available options and explain any restriction. If we cannot provide an agreed service or necessary reasonable adjustment, your legal remedies remain available. A disability or health condition does not automatically justify refusing a learner or retaining a deposit.
13. Assessments, certificates and exam warranty
You must meet the attendance, identity, competence and assessment requirements for your qualification. Assessment and certification decisions may involve an awarding organisation. We will explain the assessment arrangements and communicate results and certificate availability when received.
ASA Exam Warranty — multiple-choice theory tests only. Where your booking includes the ASA Exam Warranty, it includes up to two free multiple-choice examination (MCQ) retakes following an unsuccessful theory examination. Any further MCQ retake costs £50 per additional examination. Your booking confirmation identifies the warranty included in your package; any more generous entitlement expressly agreed before booking will be honoured.
- Covered: eligible retakes of multiple-choice theory examinations, arranged through ASA.
- Not covered: practical assessments or reassessments, including Physical Intervention, Conflict Management scenarios, searching, CCTV practical tasks and First Aid practical skills, where applicable to your course.
- Additional training: repeat attendance, practical retraining, a new course, travel, accommodation and SIA licence fees are not included in this retake warranty. Any additional charge must be explained and agreed before the extra service is booked.
- Booking a retake: contact ASA to arrange a suitable examination session, subject to availability and applicable assessment rules. Bring the required identification and meet the examination requirements. The warranty does not guarantee a pass, qualification or licence.
The warranty is additional to your statutory rights. It does not limit remedies for an error by ASA or services that fail to meet legal requirements; a repeat examination required to remedy ASA’s own failure will not use up a free warranty retake. Charges for practical reassessment or replacement certificates will be disclosed before you agree to them.
SIA licensing is a separate application and decision. A course pass does not guarantee a licence or employment. Unless expressly included in your quotation, licence application fees are separate. These provisions do not excuse failures in the training or assessment services ASA has agreed to provide.
14. If ASA changes or cancels a course
We may make reasonable minor changes that do not materially reduce the agreed service, such as changing a tutor or room. We tell you about relevant changes as soon as reasonably possible.
If we cancel a course, or propose a material change to the date, location, delivery method or content that you do not accept, we offer an agreed alternative or refund all fees paid for the affected course, including the deposit. We do not force you to accept credit or a replacement date. We aim to make that refund within 14 days; any shorter legal requirement applies.
An event outside our reasonable control may disrupt delivery. We will notify you, take reasonable steps to reduce disruption and discuss alternatives or refunds for services we cannot provide. This does not give us a blanket right to keep payment for cancelled services or exclude legal liability.
15. Our responsibilities and liability
We provide services with reasonable care and skill and honour binding information supplied before booking. Where services or digital content do not meet legal requirements, you may be entitled to remedies such as repeat performance, repair, replacement, a price reduction or refund, as applicable.
We are responsible for foreseeable loss caused by our breach or failure to use reasonable care and skill. We do not exclude liability for death or personal injury caused by negligence, fraud, fraudulent misrepresentation or anything else that cannot lawfully be excluded. We do not impose a blanket cap limiting all consumer claims to the course fee.
Consumer bookings are for personal use. We do not ordinarily accept liability for business losses under a consumer booking. Tell us before booking if you require a business training agreement. This section does not remove any liability that the law requires us to accept.
16. Website and training materials
Use our website and systems lawfully. Do not interfere with security, impersonate others, introduce harmful code or misuse learner accounts. We may take proportionate action to protect our systems and users.
ASA and its licensors retain rights in their branding and training materials. You may use materials supplied to you for your own authorised study and keep copies of your contract. Do not resell, share accounts, republish or commercially distribute protected content without permission, except where the law permits.
External links are provided for convenience. We do not control independent websites, but remain responsible for services we have contracted to supply, including where a supplier performs part of those services for us.
17. Privacy and communications
Our Privacy Policy explains how we use learner information for booking, registration, training, assessments, certification and relevant legal obligations, including necessary sharing with training platforms and awarding organisations. Acceptance of these terms is not blanket consent to all data processing or marketing.
We use your contact details for necessary booking communications. Tell us if your details change and check your inbox and spam folder for joining information. Non-essential cookies and marketing are handled separately in accordance with applicable law. We do not treat booking a course as automatic marketing consent.
18. Complaints and appeals
Contact info@asecurityacademy.com, telephone/WhatsApp +44 7541 999 007, or write to our contact address. Include your name, course and date, what happened and the outcome you seek. We aim to acknowledge complaints within five working days and provide a substantive response within 20 working days, or explain any delay and the next update date.
For assessment appeals, contact us promptly so we can explain the applicable procedure and deadlines. Where a complaint remains unresolved, we will provide information about an appropriate approved alternative dispute resolution provider and state whether we are obliged or willing to use it, where required by law. You do not have to complete our complaints process before exercising legal rights.
19. Changes, governing law and contact
The version agreed when we accept your booking applies to that contract. Later website updates do not automatically change existing bookings. Any necessary legal change or mutually agreed amendment will be communicated clearly. If a provision is unenforceable, the remaining provisions continue where they can lawfully do so.
These terms are governed by the law of England and Wales. Consumers retain any mandatory protections and rights to bring proceedings in the courts available to them under applicable law, including in Scotland or Northern Ireland where relevant. We do not require consumers to use only the English courts where that would remove those rights.
